Here you will find information on date requests and how you can manage them in the partner portal.
💡 We will notify you by e-mail about every new date request.
What is a date request
A customer who requests a date has a specific date in mind for the event that is currently not offered on your course page.
The customer can request up to three specific dates via your course page. Whether as an individual for a public event or as a group for a private event, e.g., as a team event, for a bachelor party or birthday.
💡 Date requests for up to eight people are sent directly to you in the partner portal. You will be informed about every new date request by e-mail. Requests for 8 or more people are managed by our sales team. The team will contact you by e-mail or phone with suitable requests that you can accept or reject.
You can find out how to manage your date requests further down in this article.
Date request settings
You can specify the settings for date requests in your account settings under "Waitlist and Requests". These settings apply to all your courses. You can specify the following:
- Do you want to have the Request feature active?
→ Do you want to receive date requests from customers? - Can clients request private events?
→ Can customers also request dates for exclusive group bookings, e.g., for a bachelor party, birthday or team event? - For which days can clients request a date?
→ Here you can exclude days of the week for which customers should not be able to request dates - Ticket settings:
- What is the minimum number of tickets that must be requested per date request?
- What is the maximum number of tickets that can be requested per date request?
- With how much advance time can the date be booked?
How to manage date requests
❗ Please note that date requests are automatically rejected by the system after 5 working days if you have not answered them by then.
You can manage your date requests in the partner portal on the “Waitlist and Request” page (side menu).
There you can click on “Respond to request” and edit the request.
You have the following options:
1. Accept the date request
- Click on “Review & Notify”.
- Specify whether it is a public date or a group booking. The default setting is always the requested date type.
- If you accept the date as a group booking, the number of people from the request is automatically taken as the minimum number of participants for the group date.
- Click on “Save and publish”.
-
The customer receives an email notification that the date has been accepted and can book the date directly via a booking link.
💡 Please note that accepting date requests creates an available date on the website that can be booked by all customers! - If you accidentally send a public appointment instead of a group booking or would like to adjust the number of available tickets afterwards, you can do this in the date manager (“My Dates”) or course editing (“My Classes”).
2. Make an alternative suggestion
- Click on “Review & Notify”.
- You can now edit the date before you publish it. You can edit the following:
-
Type of date
-
Event date
-
Start time
-
Number of tickets
-
Gross price per ticket
-
- You can also suggest additional possible dates via “Suggest further date”.
- Then click on “Save and publish”.
- The customer will be informed of the alternative suggestions by email and can then book the respective date directly via a booking link.
3. Reject the date request
- If you cannot offer the requested dates and do not want to send the customer an alternative suggestion, you can simply reject the request.
You will receive a standard booking confirmation as soon as the customer from the date request or another customer / group books your date.
If the request is declined, the customer will be asked if they are interested in being added to the waiting list for your course so that they can be informed of any new dates you add.
